What a good PSP reconciliation catches (and spreadsheets miss)

Fees, chargebacks, FX and timing differences hide in plain sight. Here is what an automated reconciliation should surface every day.

When payments flow through several providers, the gap between what your platform recorded and what actually landed in the bank can grow quietly. A daily, automated reconciliation turns that gap into a short list of explainable exceptions. These are the items it should catch.

Missing or duplicated transactions

Deposits recorded in your platform but never settled, or settled twice. Both are common during provider outages and retries.

Fees that do not match the contract

Processing, scheme and cross-border fees should match agreed rates. Small differences across thousands of transactions become real money.

Chargebacks and reversals

Chargebacks often arrive weeks later and in separate reports. They must be linked back to the original transaction and the customer account.

FX differences

When the settlement currency differs from the transaction currency, the rate applied should be checked, not assumed.

Settlement timing and rolling reserves

Know what is in transit, what is held back as a reserve and when it will be released, so cash forecasts and safeguarding checks are accurate.

The goal is not zero exceptions. It is that every exception is visible, owned and explained within a day.

Automated matching, clear exception queues and dashboards for finance and compliance turn reconciliation from a monthly fire drill into a daily routine.
